How many kids to invite to a party

Getting the headcount right is one of the trickiest parts of kids party planning. Invite too few, and you worry the room will feel flat; invite too many, and you’re looking at a chaotic afternoon of crowd control. So, how do you find that sweet spot? After years of helping parents find the right people to help them coordinate celebrations all across the UK, here is our take on managing the numbers (and your own sanity).

Before we look at anything else, let's talk about safety. From our experience, the absolute limit for two adults managing a party alone is 8 toddlers or 20 primary school kids. After that, you stop being a host and start being a lifeguard. If your child is desperate for a massive class bash of 30-plus kids, please draft in reinforcements! Hire a professional entertainer to hold their attention or bribe parents, grandparents or friends with some scran so they will stay and help monitor the chaos. Remember to have first aid kits, water and emergency contact numbers on hand. Don’t let them run around too much in the hot sun without stopping for a rest in the shade, and make a designated space for anyone who does get overstimulated to go and calm themselves with some sensory play or noise-cancelling headphones.

How to say NO to extra guests

Assuming you get a heads-up that an extra sibling or neighbour is planning on showing up, here are three ways to say NO without sounding like a villain:

 

  • “We would absolutely love to have them join us, but our venue has a really strict maximum capacity for safety reasons, so we can only accommodate the children named on the invitation. I hope you understand!”
  • “Because of the nature of the activity, we've had to pre-book exact numbers. We unfortunately can’t add any extras to the head count at this stage, but we’d love to catch up for a playdate soon!”
  • “I’m so sorry, but we’re working to a tight budget this year and can only accommodate the invited numbers. Let’s get a playdate in the diary to make it up to them!”

As small as you like

At the end of the day, there is absolutely no shame in keeping things small. A calm, happy party with eight children who get to do a really cool activity is a thousand times better than a chaotic afternoon with thirty kids who don’t get much attention. So, if that means saying NO or keeping your headcounts small from the get-go, then do that!
